Running maintenance across a hotel or restaurant estate is a coverage problem before it is a technical one. Any competent engineer can fix a boiler; the challenge is fixing the boiler at a site 90 miles away at 10 pm on a Saturday, proving it was done, and making sure it does not happen again next month.
Start with priorities, not trades
Define what a P1 means for your business — no hot water in a hotel, kitchen gas isolated in a restaurant, a lift out in a multi-storey property — and what response and fix times each priority carries. Everything else (contractor selection, helpdesk hours, stock) follows from that table.

Decide what to self-deliver
- Keep in-house: daily walk-rounds, light fabric repairs, meter readings, snagging.
- Outsource to a hard-services contractor: gas, electrical, plumbing, HVAC, refrigeration, statutory inspections, projects, out-of-hours.
- Specialist partners via the contractor: lifts, fire systems, drainage jetting, asbestos.
The value of a single contractor is one helpdesk, one SLA and one record — not one trade doing everything. Look for a partner who will onboard your existing specialists rather than replace them.
Run a compliance calendar across the estate
Gas safety (CP42/CP17), F-Gas leak checks, legionella monitoring, EICRs, emergency lighting, fire alarm servicing and LOLER lift inspections each have their own cycle. Put them in one calendar per site, batch visits by region and trade, and store certificates against the asset. Turn reactive jobs into planned ones
Every reactive job should end with a root-cause note and, where relevant, a preventative quote. When a burst pipe above a hotel restaurant was repaired, the follow-up was to protect the pipework permanently within two days — one fewer emergency next winter. Track repeat failures per asset; three call-outs in a year on the same asset is a replacement decision, not a repair.
Protect trading during projects
Kitchen floors, plant replacements and compliance works can often be scheduled inside existing closures rather than night shifts. Bringing forward a full kitchen floor replacement into a one-week closure cost less and reopened on time.
Change the data relationship
The biggest shift in hospitality FM over the last decade is not a new trade — it is verifiable data. Insist on:
- Engineer arrival and departure recorded inside a geofence, labour billed by the minute.
- Photos, readings and certificates uploaded from site.
- A record that cannot be edited after the fact — by the contractor or by you.
- A live dashboard rather than a monthly PDF.
